Hello,

I've always avoided formatting marks, because I've never needed them, but I think that they might come in handy sometimes. Does any one know of a complete list of what they mean? I've searched and searched and what people call a "complete" list is usually just what a space and a new line look like. I want to know ALL of them.

Thanks!

— good question. ’s pointer to an external list is useful, but here’s a compact, practical summary you can use right away: what the common nonprinting (formatting) marks are, how to show them, and quick cleanup actions that fix the usual imported-or-messy-document problems. The desktop Word UI also includes a handy Find/Replace “Special” menu you can use with codes (see below). (support.microsoft.com)

Common marks and what they mean (quick reference)

  • Spaces: shown as a small dot; useful for spotting extra spaces.
  • Tabs: shown as a right-pointing arrow; helps when columns are misaligned.
  • Paragraph mark (pilcrow): end-of-paragraph marker — shows where Enter was pressed.
  • Manual line break (Shift+Enter): breaks line without new paragraph.
  • Page/section/column breaks: visible markers that split pages/sections/columns.
  • Nonbreaking space / nonbreaking hyphen: prevents unwanted line breaks.
  • Optional hyphen, hidden text, object anchors, field codes and table cell markers: all have distinct displays so you can spot formatting that affects layout. (support.microsoft.com)

How to view and control them

  • Toggle all marks on/off from Home > Paragraph group > the Show/Hide (pilcrow) button, or use the keyboard shortcut Ctrl+Shift+8 (Ctrl+*) on Windows. You can also set individual marks to always show from File > Options > Display. These marks are for editing only and generally don’t print. (support.microsoft.com)

Quick cleanup workflow (three goes that save time)

  1. Ctrl+H to open Replace, click More > Special to insert codes (e.g. paragraph ^p, tab ^t, manual line break ^l, nonbreaking space ^s).
  2. Fix double-paragraphs with Find ^p^p Replace ^p; convert nonbreaking spaces with Find ^s Replace ` ` (a normal space); replace tabs with set number of spaces if needed.
  3. Work incrementally (Replace, not Replace All) and keep a backup. The desktop Word Find/Replace supports these codes and the Special menu; Word for the web is more limited. (support.microsoft.com)

If the Show/Hide toggle misbehaves, try disabling add-ins or resetting the Normal template — users have found that corrupted templates or plug‑ins can stop the marks from appearing.

What are you formatting?

Microsoft word document. Formatting marks are the "non-printing" symbols, like a dot for spaces, and that "p" symbol for paragraph...
